Generating a Report

You are now ready to generate and print the report. Click the 'Generate Report' button at the top of the program window.

This will open up the 'Report Preferences' window and, by default, the 'Report Outline' panel is selected. To the left you will a find a menu of items or documents that you have the option of printing or including in the printed report and the order in which they will appear. You can print a single document, a summary report, or any combination of items that are available to you. Once selected, these items can be de-selected, as well as being placed in the order that you would like for them to appear in the report.

Click the 'Inspection Content' button and you can select which headings or items you would like to have appear in the inspection report.

NOTE: To create additional 'Headers' for your narratives, go to the main menu and select the 'Application' drop-down menu and then select 'Preferences'.

Select the middle icon in the 'Preferences' window. This will open up a window that allows you to edit your 'Headers'. You can add, delete, and order the 'Headers' from this window at any time. All narratives that you select for inclusion in the inspection need a 'Header', or they will become 'orphans' in the generated report. This is important to remember when creating new narratives 'on the fly'.

Since we're in the Preferences window, click on the bottom icon at the left side of the window. This will open up a window that allows you to adjust the screen font size. This feature is especially useful if your eyesight is failing or are using a small laptop or UMPC for your inspections.

Okay, let's get back to 'Report Preferences'. Click the 'Options' button and you are presented with a variety of options from which to choose. If you choose to include images in your reports (NOTE: you should consult with an experienced real estate attorney about the adviseability of including images in your inspection reports), check the Include Narrative Pictures box.

To select the image size, select either the Small, Medium or Large button.

To adjust the printed font size, use the sliding 'Font Size' bar.

For image quality, also use the sliding bar provided. Be aware, however, that when you have included a large number of images in your report and choose the best quality, you will end up with very large file sizes.

The image size and quality can be selected later when you generate the report by using the Image Quality control bar in Report Preferences/Options.

Peformance tip: Make sure that your camera settings are set at 640x480 so that the image size is approximately 65 KB. If the images are too large they will slow the program down to a halt, and you will get a message telling you that the "Application is storing data...please wait." Depending on the number of images you import, if they are too large you may end up waiting forever.

Select the location where you would like the finished report to appear (i.e. on your desktop or a designated folder).

This is where you choose what you would like to have appear in your report header and footer. For example, using the macros that have been provided, you may want to include page numbers and the number of pages included in the report. Or the name of the inspector. Or the date. Or you can type in your own and then choose a color for it. Once you start playing around with the macros, you will begin to appreciate the possibilities they create, especially when it comes to document creation.

The only thing you can't do is remove the Company Name from the footer. You can move it around, but you can't remove it. This is a security feature that helps limit software piracy and unauthorized use of the software.

When you are ready to generate the report, just click the 'Generate Report' button.
